In this case, Ultimate, wanted a system that would benefit clients and delivery partners; not just themselves.

They wanted to reconfigure their systems and ways of working to improve the client and partner experience with an easier, more streamlined process that makes quoting quicker, and provides live project reporting and easy access to all project documentation, thus enabling full collaboration and consequential efficiency.


In doing so, they wanted to create the following internal benefits that would ultimately benefit the customer too:

  • A more efficient organisation.
  • Consistent ways of working.
  • Live updates reducing the need for meetings.
  • Communicate more effectively.
  • Significant reduction in manual duplication in the transfer of information.
  • Identify trends and convert to opportunities for improvement.

Bringing Project Vision+ to life

Our consultant, Youssef Mejri, took the lead on Vision+, having previous experience of working in fixtures and fittings.

He set about designing a solution that would indeed satisfy Ultimate’s vision – to be the UK’s most recommended partner for interior fit out and furniture. To do this means putting the customer experience at the heart of the solution.

The solution has two linked main modules, both of which contribute to a better customer experience:

  1. Opportunity and estimating intake
  2. Fit-out or furniture delivery

Quoting and estimating intake: A high degree of automation and information handling expedites the creation and approval process. It also means reducing data handling and reducing the chance of mistakes or information going missing and/or getting stuck in an email inbox. So, the client receives their quote quicker, and with confidence that everything has been considered.

Fit-out or furniture delivery: Project/site managers load all the related information, details of deliveries, permits and who is on site each day, into the solution so that the customer, Ultimate and everyone in the supply chain has a real time view of the information.

The solution delivers to the needs of three audiences – internally, the Ultimate team (project managers, site managers and senior team), and externally, clients and the supply chain, thus enabling a collaborative and clear view of each project.

The solution has two other significant benefits. It contributes to Ultimate’s ISO certification and captures project-related mileage and car sharing that enables the company to build sustainability into its project planning and execution – an increasingly popular feature with clients.

Every project has a customer dashboard, so clients have the most up-to-date information about their project at their fingertips.

This includes updates from the project manager/site manager; the programme of works, including milestones and delays; live completion dates; health and safety information; a client task tracker; project drawings and approvals, weekly reporting, and so much more.

The PM/site manager dashboard provides details of deliveries, permits and who is on site each day, and includes provision to record accidents, near misses and incidents to meet Health and Safety requirements.

It means information is provided once and can be used twice: by the client and by Ultimate, increasing efficiency all round.

In addition, Ultimate’s senior team can track the progress of quotes/estimates at every stage, providing improved analysis on sales and opportunities.


The clear, concise, real-time overview of all projects assists decision making and provides support as and when it is needed. Overall, everyone has a complete view of the pipeline to help with planning.

Workload management, such as who is on site/on team, creates a huge circle of benefits, helping to provide a better balance of work for the team, site, QS, and contracts managers, which in turn, means they are less stretched so they can give each client more attention and better service.

Every external person working on a project has access to a single dashboard. This means they are all interconnected to one another, and all the tasks being done on site.
